MJC Property Partners — providers.mjcpropertypartners.co.uk
1. Who this notice is for
MJC Property Partners Ltd ("MJC", "we", "us" or "our") brings landlords and care providers together for property opportunities. This notice explains what personal information we use when people visit providers.mjcpropertypartners.co.uk (the "Portal"), represent a landlord or care-provider organisation, or communicate with us about our property introduction and support services.
For the processing described here, MJC is the controller under the UK General Data Protection Regulation and the Data Protection Act 2018. The Portal is intended for organisations rather than personal or household use, so most records concern professional contacts and their authority to act for an organisation.

3. Information we may hold
Depending on how you deal with us, our records may include:
- Professional contact details: your name, role, work address, telephone number and business email;
- Portal account information: your sign-in record, account activity, alerts, requirements, searches, viewed properties and enquiries (passwords are not stored in readable form);
- Organisation checks: company details, registered office, ownership information and regulatory references, including CQC or other relevant registration details;
- Property and matching records: property material supplied by landlords, requirements supplied by providers, viewings, proposals, negotiations and completed or proposed introductions;
- Due-diligence material: identity, address, company and source-of-funds evidence where checks are legally or commercially required;
- Communications: messages, emails, meeting records and call notes;
- Device and usage information: IP address, browser and device details, referral information, pages used and security events; and
- Communication choices: whether you have asked to receive or stop receiving updates.
The Portal is not intended to collect information about an individual receiving care. Do not submit names, health details or other personal information about service users. Where a provider must share limited service-user context to assess a property, it should use anonymous or aggregated information and remains responsible for that processing.
4. Where information comes from
We obtain information directly from you when you open an account, publish requirements, enquire, view a property or contact us. We also obtain limited technical information when the Portal is used. Verification information may come from organisations and public sources such as Companies House, the CQC, Ofsted, the Land Registry, planning records, verification suppliers, colleagues and the other organisation involved in a proposed match.
5. Purposes and legal grounds
We use information only where a lawful ground applies. The principal grounds are:
- Contract and pre-contract steps: administering accounts, presenting properties, handling requirements and enquiries, arranging introductions and viewings, supporting negotiations and issuing invoices;
- Our legitimate interests: operating and securing the Portal, checking organisations, answering enquiries, keeping an audit trail, improving services, preventing misuse and sending relevant business communications. We consider the effect on individuals before relying on this ground;
- Legal duties: meeting applicable obligations relating to tax, accounts, sanctions, fraud prevention, property activity and anti-money laundering; and
- Consent: sending consent-based updates or using optional cookies. Consent can be withdrawn at any time.
6. Property alerts and other communications
Providers can choose whether to receive new-property alerts. We may also send service messages needed to operate an account or progress an enquiry. Promotional emails are sent only where permitted under the Privacy and Electronic Communications Regulations. Use an unsubscribe link or email us to stop optional messages; essential account communications may continue while the account remains active.
7. Recipients
We do not trade personal information. We disclose it only where needed, including to:
- the landlord or provider involved in a relevant introduction;
- suppliers supporting hosting, email, account security, record keeping, verification, professional advice or customer management;
- official registers and verification services used to confirm identity, ownership or regulatory standing;
- courts, regulators, law-enforcement bodies or other authorities where disclosure is required or reasonably necessary; and
- a purchaser or successor if our business is reorganised or transferred.
Suppliers must protect the information and use it only for agreed services.
8. Processing outside the UK
We prefer suppliers that keep information in the UK or European Economic Area. If information is processed elsewhere, we use a lawful transfer safeguard where required, such as an adequacy regulation, the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses. Contact us for more detail about a relevant safeguard.
9. Retention
We keep records only while there is a business or legal need. Our usual periods are:
- account information: while the account is open and for up to two years after closure;
- enquiries that do not lead to a match: up to 24 months after the latest contact;
- engagement, match, invoice and related correspondence: at least six years after the engagement or match ends;
- anti-money-laundering records: normally at least five years after the relevant relationship or transaction; and
- marketing choices: until opt-out, with a minimal suppression record retained so the opt-out is respected.
A longer period may apply where a claim, investigation or legal preservation duty requires it.
10. Your data-protection rights
Depending on the circumstances, you may ask us to:
- confirm how we use your information and provide a copy;
- correct information that is wrong or incomplete;
- erase information where no lawful reason for keeping it remains;
- limit particular processing;
- provide eligible information in a portable format;
- stop direct marketing or object to processing based on legitimate interests; and
- review any decision made solely by automated means that has a legal or similarly significant effect. We do not currently make such decisions.
Email contact@mjcpropertypartners.co.uk to make a request. We normally respond within one month. A complex request may lawfully take longer, and we may ask for evidence of identity before acting.
11. Cookies
Our Cookie Policy describes the essential browser storage used by the Portal and the controls that would apply if optional technology is introduced.
12. Protection of information
We use proportionate organisational and technical safeguards, including controlled access, secure hosting, encrypted transmission and confidentiality duties. No internet transmission or storage system can be guaranteed completely secure, so information sent online is provided with that inherent risk.
13. External links
A link from the Portal to another organisation's website does not make us responsible for that website. Read the other organisation's privacy notice before supplying information there.
14. Updates to this notice
Changes will be published on this page with a new revision date. If a significant change affects an existing relationship, we will provide an appropriate additional notice.
15. Concerns and complaints
Please first raise any concern with us at contact@mjcpropertypartners.co.uk so we have an opportunity to resolve it. You may also complain to the UK Information Commissioner's Office:
